Every company is aware of time clock abuse, but each one handles this issue in a different way. Wasted company time can come from many areas of your business, such as stretched-out lunch breaks, buddy punching, unjustified sick leaves and non-work related internet browsing.

Studies Prove The Average Worker Wastes 5+ Weeks A Year.

Recent studies have shown the average worker wastes two to three weeks annually just preparing to start work and on non-work related interruptions throughout the day.  Also, hourly employees often waste company time by waiting a few minutes before they clock out.  And overall, many experts estimate the typical worker wastes well over five weeks of company time each year when consolidating all aspects that fall under the “non-productive” time category.

Tips To Help Curb Time Clock Abuse In  The Workplace:

 

1. Create Open Lines of Communication and Educate Employees About Time Clock Abuse – Define what time clock abuse is and discuss with employees the company policies that govern it.  When an employer is clear and open about expectations an company policies on what is allowed and prohibited while on the clock the employee will know what exactly where the boundaries lie. The employees need to understand how serious the company takes time theft.

 

2. Implement a Biometric Time and Attendance System. This will eliminate “buddy punching” –when one employee clocks in and our for another. A biometric system ensures that the proper employees are reporting to work and their time cards cannot be forged.

 

 3. Hold Regular Staff Meetings and Ask Employees For Their Ideas – Staff meetings allow employees to be kept up-to-date and know what is expected of the. It is a great time to address issues such as time theft without having to point fingers. Use a “suggestion box” and place it in a high traffic area, like the lunchroom.  Reward employees who come up with the best ideas for time clock management and talk about them in the staff meetings.

 

4. Change Employees’ Lunch Break Time – Change one-hour lunches to half-hour lunches because it will discourage employees from running personal errands.  Also, employees will tend to stay in the building, which increases the likelihood that they will come back on time.  The advantage for the employees is that they can leave a half an hour earlier.

 

5. Don’t Overstaff  Rather than hiring full-time employees to cover the workload year-round, use temporary help for peak production periods.  This will help your clients better control employees’ paid hours during the off-peak times because the company will not be overstaffed.

 

6. Review Company’s Overtime Rules – Overtime is another form of time clock abuse for your clients.  Time thieves can change records to show overtime hours worked instead of actual time worked.

 

7. Accountability at Work. Since employee needs to have the initiative to be accountable for their time at work, you can assist them in making measurable goals, implementing a team initiative program and monitoring progress on goals and projects.

 

8. Implement Internet Monitoring Software. It will allow you to track how often, what for and if any excessive non-work related browsing occurs. This is a very common and easy this for companies to track.

 

9. Warn Time Clock Abusers – If time clock abuse still occurs, call the offender into the office and make them aware that they are abusing time.  Give them suggestions on how to correct this behavior and a warning that there will be consequences for repeated offenses.  For consistent repeat offenders, use write-ups or even termination to remedy the issue.

 

10. Reward Correct Time Clock Use – Acknowledge and reward employees who manage the time clock properly.  For example, your clients could give those employees bonuses, gift cards, extra vacation time or even allow them to leave early on a Friday.

 

If you clearly communicate with your employees about time clock abuse and the company policies surrounding it, they will substantially reduce payroll costs.  If your clients’ employees understand the rules, they are more likely to follow them.  This will lead to higher profits for the company and increased employee productivity.
